How to Organise Your MP3 Music Library: Tags, Covers and Folders
“Unknown artist” and track(3).mp3 no more: a practical system and free tools for a tidy music library.

A music library starts tidy and quickly becomes a mess: “Unknown artist”, duplicate songs, missing covers and files called track(3).mp3. A few habits and one free tool fix it for good. Here is a practical system that works with every player.
Tags matter more than file names
Music players don’t read file names; they read tags stored inside each MP3 (ID3 tags):
- Title, Artist, Album, Album artist
- Track number and Year
- Genre
- Cover art (an embedded picture)
Get the tags right and every player, phone and car stereo shows your music correctly. Files from Spot Downloader already come with title, artist, album and cover, so most of the work is done.
A simple folder structure
Tags do the heavy lifting, but folders make backups and copying easier. A common structure:
Music/
Artist/
Year - Album/
01 - Title.mp3
02 - Title.mp3
Playlists/
Road trip/
For downloaded playlists, one folder per playlist is fine; tags still let players group songs by artist.
Fix tags in bulk with a free tag editor
- Mp3tag (Windows, Mac): the classic. Select many files and edit fields together.
- Kid3 (Windows, Mac, Linux): similar, open source.
- MusicBrainz Picard (all systems): identifies songs by their sound and fills in full, correct tags automatically.
Useful tricks in Mp3tag or Kid3:
- Set “Album artist” for compilations, so the album doesn’t split into many artists.
- Rename files from tags, for example
%artist% - %title%. - Fill tags from file names for files that have good names but no tags.
- Number tracks automatically in the order you choose.
Cover art
- Use square covers, 500 × 500 to 1000 × 1000 pixels, as JPG. Very large covers slow down some players and car stereos.
- Embed the cover in every file rather than relying on a
folder.jpg: phones and cars read embedded art. - Tag editors can download covers or import one image for a whole album.
Find and remove duplicates
- MusicBee (Windows) and foobar2000 can list duplicates by title and artist.
- Keep the version with the higher bitrate.
- Be careful with live versions and remasters: same title, different recording.
Keep volume consistent
Songs from different sources have different loudness. Scan your library for ReplayGain in foobar2000, MusicBee or Mp3tag; most players then even out the volume automatically. Details in why some MP3s are quieter than others.
Back it up
Your library is worth protecting:
- keep a copy on an external drive,
- another in cloud storage,
- and update both whenever you add music.
Playlists themselves are worth backing up too; see how to back up your Spotify playlists.
Habits that keep it tidy
- Add new music to an “Inbox” folder, tag it, then move it into place.
- Fix problems as soon as you notice them.
- Use the same naming pattern everywhere.
Ten minutes a month keeps a library of thousands of songs perfectly organised. Then pick a good player from our list of the best free MP3 players.
